A WIP schedule

A work-in-progress schedule lists every job you have open on one date. For each job it shows the contract, what the job is expected to cost, what it has cost so far, how far along it is by cost, what you have earned, what you have billed, and the difference between the two. Jobs you finished this year are listed in a separate table.

Why sureties ask for it

The jobs already on your books

A surety bonds a contractor on the strength of the work already under way. The WIP schedule is where that work is read: whether profit is holding on open jobs, whether billing keeps pace with the work, and how much work is still to finish. Sureties and bond agents ask for it alongside your financial statements.

What you send

Three things

  1. 1 · Costs per job

    The QuickBooks Online report “Profit and Loss by Customer” (or “Project profitability summary” if you use Projects), report period All Dates through your as-of date, exported to Excel or CSV.

  2. 2 · Billing per job

    The QuickBooks Online report “Invoice List”, report period All Dates through the same date, exported to Excel or CSV.

  3. 3 · The job sheet

    One line per open job and per job closed this year: contract amount, approved change orders, estimated total cost and retainage held. Download it below, with the one-page consent to sign.

Only these three are accepted. No bank statements, tax returns, passwords or QuickBooks backups; anything else that arrives is deleted unread.

What you get back

Within 5 working days after all three arrive

A PDF and a spreadsheet with your company name and the as-of date, one line per open job, totals, and the jobs you closed this year. Any job name or figure that does not match your QuickBooks reports exactly is listed on a page of its own for you to confirm; nothing is guessed. A job with a missing figure is shown with the figures it has and left out of the totals. A job expected to lose money shows the whole expected loss.

Estimated gross profit
Contract minus estimated total cost.
Cost to date
What the job has cost so far, from your QuickBooks report.
% complete
Cost to date divided by estimated total cost (the cost-to-cost method).
Earned revenue
Contract times % complete.
Billed to date
Your invoices, plus retainage held when your invoices leave it out.
Over- or under-billed
Billed minus earned: billed ahead of the work, or work done and not yet billed.
Cost to complete
Estimated total cost minus cost to date.
Retainage held
Money billed that the owner is holding back until the end.

What it is not

The schedule is prepared from figures your company supplies. It is not audited, reviewed or compiled, and it is not accounting, tax or legal advice. It makes no promise about bonding capacity or any surety's decision.
